Procurement Coordinator

Job Introduction

We are looking for an experienced Procurement Coordinator to ensure the smooth flow of products and services in our Hoddesdon location. This includes buying them, managing stock levels, and negotiation with external suppliers. You'll handle purchase requests, orders, and any issues with quotes, invoices, or deliveries. You'll also keep track of everything with reports and updates to the vendor database. Basically, you'll make sure things get ordered on time, delivered as expected, and paid for correctly.

Key roles and responsibilities:
  • Collaboration with Procurement Managers and Directors to support for negotiations preparations.
  • Manage all incoming purchase needs and/or needs related to Purchase Order management.
  • Communicate (written and verbal) clearly and professionally with internal and external stakeholders to resolve issues relating to quotes, invoices, purchase orders, delivery receipts, and payments.
  • Prepare purchasing reports as needed, including departmental metrics reporting.
  • Add vendors or make updates to the vendor database as needed.
  • Ensure timely management of orders in line with company policy from raising PO’s through to dealing with queries on invoices in support of Finance, resolving any issues or discrepancies that might occur during that process.
  • Responsible for the updating of the delivery tracker when Purchase Orders are initiated.
  • Coordinate deliveries, working closely with Lab Services team and Materials Management Team, ensuring delivery dates and any associated changes are communicated to the relevant users.
  • Administrate the GRN process; ensuring items received are closed out accordingly.
  • Archive and File all POs and GRNs appropriately. 
  • Maintain good professional working relationship with Internal and external stakeholders.
  • Provide general administrative support to the Department, supporting colleagues in periods of absence or high workload.
  • Adhere to company's procurement policies and procedures
Requirements:
  • Current experience in a Procurement role 
  • GCSE English & Maths at Grade A*-C 
  • Experience of ERP systems
  • Experience in financial purchasing systems
  • IT skills with a good working knowledge of MS Office
  • Active listening skills
  • Strong analytical skills
  • Problem solving skills
  • Commercially minded
