Position: Purchasing & Administration Assistant

Location: Cardiff

About the Role

Pharmaron is currently looking to recruit a highly organised and detail-oriented Purchasing & Administration Assistant to join our Operations team in Cardiff. In this varied and fast-paced role, you’ll support the smooth running of the site by providing essential administrative and purchasing support. From managing orders and supplier accounts to coordinating travel and meetings, your contribution will be key to ensuring operational efficiency across the business.

Key responsibilities:

  • Raise purchase orders, process goods receipts, and resolve invoice queries in support of Finance.
  • Place orders via websites or email in line with company policies.
  • Maintain supplier accounts and ensure accurate data entry into ERP systems.
  • Provide administrative support including document scanning, archiving, and mail handling.
  • Support meeting logistics, including room bookings, equipment setup, and refreshments.
  • Assist with marketing tasks such as document binding, literature printing, and shipping.
  • Provide cover for the Stores function, including goods inwards and stock distribution.
  • Coordinate staff medicals and manage visitor records and travel arrangements.
  • Support senior managers with ad hoc administrative tasks as required.
  • Ensure all work is compliant with company policies, procedures, and ISO standards.

Candidate Profile

Education:

  • GCSEs in Maths and English (minimum grade C)

Experience:

  • Proven experience in an administrative role
  • Experience working in a purchasing environment

Skills & Knowledge:

  • Strong administrative and organisational skills
  • Excellent written and verbal communication
  • Ability to multitask and prioritise workload
  • Methodical and thorough approach to work
  • Good time management and IT skills, particularly with Microsoft Office
